1. Who this policy covers
Gryndor Circuit provides information technology support and planning focused on organizing and documenting existing business technology resources. This Privacy Policy covers our website, inquiries you send directly to us, project administration and information supplied for an agreed service engagement. It does not describe the privacy practices of a client’s own systems, software vendors or websites operated by unrelated organizations.
The website is intended for business use. You may browse information about our services without creating an account. The custom sections described in this policy do not include an account-registration system, a mailing-list subscription, online checkout, advertising tags or analytics trackers. Platform features and applications separately installed on the site can involve additional processing, which must be reflected in the published version of this policy.
2. Information you choose to provide
If you email, call or write to us, we may receive your name, business contact details, company name, inquiry, correspondence and information needed to respond. During a service engagement, we may receive asset lists, application inventories, internal resource categories, ownership information, technology reference materials and project priorities. Information identifying an employee may be included when a business chooses to assign an owner to a record.
Provide only information relevant to the project. The listed services do not require passwords, access keys, complete payment-card details, employee medical information, government identification numbers or control over client funds. Please remove unnecessary personal information from inventories before sharing them. If unexpected sensitive information is received, we may ask for a reduced or corrected file and arrange appropriate handling.
3. The local project brief form
The project brief form requires a name, company, email address, phone number, service choice, project description and acknowledgment. Its purpose is to help you prepare a clear description of the work. Completing the form displays a confirmation inside your browser. It does not send an email, make a booking, create a customer record or transmit the entered information to Gryndor Circuit.
The form values and displayed summary remain in the open page until you reset the form, reload the page or close it. They are not written to cookies, local storage or a server by this form. Browser functions such as autofill, extensions, saved form data or a shared-device session are controlled by your browser or device. Contact us directly if you want us to receive your prepared priorities.
4. Website guide and optional AI chat
When the chat is labeled “Website guide,” responses come from service information built into the page. Questions and replies remain in the open page and are not sent to an AI provider by that mode. Clear chat removes the visible conversation and the page’s conversation history. The custom guide does not save a conversation between visits.
If an AI endpoint is connected, the interface is labeled “AI assistant.” Pressing Send then transmits your question and a limited recent conversation history to the configured server and AI provider to generate a response. The included implementation uses Cloudflare for the server and OpenAI for response generation. Those providers process request data and technical metadata under their own terms and retention practices. Disabling response storage in an API request does not eliminate all provider security or abuse-monitoring retention.
Do not enter confidential inventories, credentials or sensitive personal information into the chat. AI responses are informational and can be inaccurate. They do not approve a project, establish a quote or replace communication with the company. If live AI is not configured, no AI-provider transmission occurs through the guide.
5. Technical information and essential storage
The hosting platform and delivery infrastructure may process information such as IP addresses, browser and device characteristics, requested pages, request timestamps and operational logs to deliver the website and maintain its functions. We do not treat the absence of custom analytics as a claim that the platform collects no technical information.
Our privacy controls save a preference record on your device under gc-consent-v1. The record contains consent categories, a version and a timestamp, rather than your form details or chat messages. A saved choice is used for up to one year before a new choice is requested. The controls also communicate consent to Shopify’s Customer Privacy API when that API is available. 6. How information is used
We use information received through direct business communications to answer inquiries, define project scope, prepare proposals, administer agreed work, deliver documents, address corrections and maintain appropriate business records. Asset information is used for the organization, inventory review, planning or documentation task identified in the engagement.
We also may use necessary information to protect the integrity of our communications, resolve billing questions, comply with applicable legal obligations and establish or defend legal rights. We do not use the local project form as a hidden lead-capture system. We do not use information entrusted for a documentation project to manage funds, provide financial technology services or operate a monitoring service.
7. Sharing and service providers
We may share the information needed for a stated purpose with service providers supporting website hosting, business communications, document storage, project administration or invoice administration. Access should be limited to the work the provider performs for us. If live AI chat is enabled, its provider receives the chat content described above.
Information may also be disclosed when reasonably necessary to comply with a valid legal requirement, respond to an authorized request, protect rights or address a business transition, subject to applicable obligations. We do not sell personal information through the custom website functions and do not configure advertising-based data sharing in these sections. A later addition of advertising, analytics or other tools requires a review of the actual data practices and disclosures.
8. Retention and safeguards
Information directly received for an inquiry or engagement is retained only for purposes reasonably connected with that matter, appropriate recordkeeping or legal obligations. Project files may be needed during preparation, review, delivery and resolution of an issue. Invoice and contractual records may require longer retention than a draft working file. A single fixed period would not accurately describe every category, so you may ask about the records relating to your matter.
We use reasonable administrative and technical measures appropriate to the information and the service, including limiting access, using agreed transfer channels and avoiding unnecessary collection. No transmission method or storage system can be guaranteed completely secure. Our documentation work is not a cybersecurity monitoring or incident-response service. Please contact us promptly if you believe information sent to us requires correction or special handling.
9. Your choices and requests
You may choose not to send an inquiry or project materials, limit the information you provide, clear the local chat and change cookie preferences from the footer. You may ask us to correct business contact details, explain information we hold about your inquiry, or consider a deletion request. Some information may need to be retained for an active engagement, a legal requirement or an unresolved issue.
Depending on applicable law and your circumstances, you may have additional rights concerning access, correction, deletion, portability or certain processing. We evaluate requests under the laws that apply rather than promising every right in every location. We may request proportionate information to verify a request and avoid disclosing records to the wrong person. We do not require sensitive identity documents for an ordinary inquiry when another verification method is sufficient.
10. Children, changes and questions
Our services and website are directed to businesses and adults acting on their behalf. We do not knowingly seek information from children under 13 through the listed website functions. If you believe a child’s information has been sent directly to us, contact us so that we can assess and address the matter.
We may update this policy when our actual practices, service tools or legal obligations change. The date at the top identifies this version. A policy change does not retroactively authorize a materially different use of information contrary to commitments already made.
